EXHIBITOR AGREEMENT

RSVP & PAY


We have combined the old RSVP Form and old Payment Form into a single form. Payments are collected on the RSVP Form, allowing payment by check, money order, debit/credit card, and either ApplePay or Google pay. 

DEADLINES, FEES & SALES TAX


Review Sales Tax Info and download PMCF Specific Sales Tax reporting FORM FS-32 (use Acrobat® to complete)

SUBMIT NEW ITEMS


After you receive initial invitation, each additional item type must be reviewed by the committee before adding it to your sale Items.  Require at least 1 photo of finished work and 1 photo of you creating it for each new item using the ADD ITEMS form.

DRINKS & COKE® PRODUCTS


Booths can offer regular coffee, brewed tea (hot, cold, sweet, un-), lemonade, limeade,  Coke® products and drinks as approved by the Fair Committee.

CANCELLATION & REFUND POLICY


TO CANCEL:  COMPLETE THE REQUIRED FORM

  • Before January 25  = full refund 
  • Before September 25 = refund less a $35 cancellation fee. Late fees are not refundable
  • After September 25 = No Refund   MUST COMPLETE FORM + CALL  706-694-6455 to advise us as well
  • By following the proper cancellation processes, you will remain eligible for future invitations.

Exceptions to the cancellation policy can be made by the Fair Committee & Fair Director depending on the situation resulting in the cancellation. Please be thorough and detailed when describing your Reason.

We provide the Every Answer to Every Question Ever Asked (EAEQ)— It is a lot of info but we have taken great pains to organize short bullet points under categories to make it easy to skim and find your answer. This is how and where we include new or changed Regulations Guidelines etc. So, it is important that you review this document. It is designed to be quickly skimmed. Please check the EAEQ before emailing questions.

PLACEMENT POLICY


Each year we send out invitations to exhibitors in good standing. After the deadline passes we review applications to fill in the balance. Booth placement requests conflicts are resolved using a mixture of available options and seniority.

PROVIDE FEEDBACK


Complete a report card and share your experience with the Fair.

LIABILITY INSURANCE


Prater’s Mill must be provided with proof of liability insurance certificate reflecting coverage in an amount of no less than $1,000,000.00 naming “Prater’s Mill Foundation, Inc., 5845 Georgia Highway 2, Dalton GA 30721” and “Whitfield County BOC,  201 S. Hamilton Street, Dalton, GA 30720” as additional insured no later than August 25.

Insurance is required if you provide open samples, prepare food on site, or come into physical contact with the public in anyway, inside or out.
